The Role
Location: Remote, with occasional visits to our offices in Krakow or Katowice
Contract: UoP - Permanent
We’re looking for a motivated and detail-oriented individual to join us as an Operations Assistant. This role sits at the heart of the business, supporting the day-to-day processes that keep things running smoothly, from invoicing and supplier onboarding through to renewals and CRM management.
Duties and Responsibilities
Delivery & Customer Success
Project Delivery Management — Track milestones, dependencies, risks, and progress; maintain clear communication with stakeholders.
Customer Relationship Ownership — Act as the main point of contact for a portfolio of customers, ensuring satisfaction and identifying growth opportunities.
Customer Success & Adoption — Monitor product usage, drive adoption, and ensure customers achieve full value.
Commercial Operations
Invoicing & Billing Management — Raise and manage invoices aligned to project milestones and billing schedules; ensure accuracy and timely issuance.
Job Order Creation — Create and submit job order forms with complete and accurate information to support internal workflows.
Supplier Onboarding — Coordinate administrative onboarding steps, ensuring compliance and timely setup.
Commercial Cycle Support — Assist with quotations, renewals, retention analysis, and commercial documentation.
HubSpot Deal Management — Maintain accurate deal records, update stages, log activity, and ensure data quality for forecasting and pipeline visibility.
Data Quality Ownership — Oversee CRM, pipeline, and order management data integrity across core systems.
Job requirements
Educated to degree level in a Technology related field (Computer Science, Information Systems, Software Engineering, or a similar technology discipline).
A minimum of 1 years’ experience in an operations, administration or customer facing commercial/delivery role.
Strong analytical skills, comfortable working with data, interpreting trends, and drawing practical conclusions.
Excellent verbal and written English communication, able to convey information clearly to customers and internal stakeholders.
Confident navigating business systems, learning new tools quickly, and maintaining high‑quality data across CRM and operational platforms.
Highly organised, detail‑oriented, and proactive in managing tasks, deadlines, and data accuracy.
Able to independently own and drive a workstream with limited supervision while collaborating effectively within a distributed team.
